Salary Certificate Format
Prepare a salary certificate on company letterhead confirming an employee's job, date of joining and salary break-up.
What it is
A salary certificate is a letter from the employer confirming that a person is employed with it and stating their current salary. Banks ask for it with loan and credit card applications, embassies with visa applications, and landlords with rental applications. It is not a statutory form, so its contents follow what the requesting party needs: usually the designation, date of joining, gross salary, deductions, net take-home pay and CTC.
When it is used
- Applying for a home, car or personal loan or a credit card.
- Visa and immigration applications.
- Renting a house where the landlord asks for proof of income.
- Employees whose salary slips are not accepted on their own.
What the template covers
- Employer name, address and reference number
- Employee name, ID, designation, department and date of joining
- Employment status (confirmed, probation or fixed-term)
- Monthly and annual earnings, deductions and net salary
- Annual CTC and the bank account where salary is credited
- Purpose of the certificate and authorised signatory

Stamp duty, registration and filing
A salary certificate confirms facts as on the date of issue and is not a guarantee by the employer. Figures should match the payroll records, salary slips and the TDS certificate on salary (Form 130 from tax year 2026-27, earlier Form 16). Issue it on letterhead, signed by an authorised person in HR or finance, and state the purpose it is issued for.

Frequently asked questions
Is a salary certificate the same as Form 16 or Form 130?
No. Form 16 (Form 130 from tax year 2026-27) is the TDS certificate issued after the year ends. A salary certificate is a letter confirming current employment and pay, issued whenever the employee asks for it.
Who signs a salary certificate?
An authorised person of the employer, usually the HR head, finance head or a director, on company letterhead with the company seal where used.
Should the certificate show CTC or take-home salary?
Banks usually want both: gross and net monthly salary, and the annual CTC. The template shows the break-up of earnings and deductions.
