Promotion Letter Format
Confirm an employee's promotion in writing: the new role, who they report to, the revised pay and the date it takes effect.
What it is
A promotion letter records that an employee has been moved to a higher position. It sets out the new designation, any change in department or reporting line, the revised compensation and the main new responsibilities, and confirms that the rest of the employment terms continue. It is placed on the personnel file and used by payroll to update salary and statutory contributions.

- New department and reporting manager
- Revised annual CTC
- Effective date
- Key additional responsibilities
- Continuation of other terms and acknowledgement

Stamp duty, registration and filing
No stamp duty or registration is needed. Where the promotion takes the employee into a managerial or supervisory role, some protections for "workers" under the Industrial Relations Code, 2020 may no longer apply, so describe the role accurately. Update PF and ESI records if the pay crosses the wage ceilings, and revise TDS on salary from the month of the change.

Frequently asked questions
Is a promotion always accompanied by a salary increase?
Usually, but not always. The letter should state clearly whether pay changes and from which date.
Can a promotion be made subject to probation?
Yes. Some employers confirm a promotion after a probation period in the new role; if so, state the period and what happens at its end.
Does the employee need to sign the promotion letter?
It is common to ask for a signed copy as acceptance, especially where the role, location or reporting line changes.
