Resignation Letter Format
Write a clear, professional resignation letter that states your last working day and asks for your relieving documents and dues.
What it is
A resignation letter is the employee's written notice to the employer that they are leaving. It fixes the date from which the notice period runs and the proposed last working day. A good letter also deals with the practical points: handover of work, return of company property, adjustment of any notice shortfall, and the documents the employee needs on exit.
When it is used
- Leaving a job for another opportunity, studies or personal reasons.
- Asking to be relieved before the full notice period ends.
- Putting a resignation already discussed with the manager on record.

Stamp duty, registration and filing
The notice period is set by the appointment letter or standing orders. The employer may accept an early release or recover pay for the shortfall as the terms allow. After exit, final wages are payable within two working days under the Code on Wages, 2019, and the TDS certificate on salary (Form 130 from tax year 2026-27, earlier Form 16) is issued after the year ends.

Frequently asked questions
Can I resign before completing the notice period?
You can ask to be relieved early. The employer may agree, adjust earned leave, or recover notice pay for the shortfall as your employment terms provide.
Should a resignation letter give a reason?
It is optional. A short, neutral reason is usual; details can be discussed in the exit interview.
Can a resignation be withdrawn?
Generally it can be withdrawn before the employer accepts it or before it takes effect, subject to the employment terms; after acceptance, withdrawal needs the employer's consent.
